Advantage Admin Solutions  |  Effective September 20, 2026

Advantage Admin Solutions ("we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, protect, and retain personal information when you visit advantageadmin.ca, contact us, submit a lead form, become a client, or otherwise interact with our business.

1  Scope

This policy applies to personal information under our control. It covers information collected through our website, social media and advertising lead forms, email, telephone, meetings, proposals, agreements, invoices, and delivery of our services.

When we process personal information contained in a client’s systems, records, or files solely to provide services to that client, the client generally determines why and how that information is used. We process that information only as authorized by the client, our agreement, and applicable law. Requests about information controlled by a client may need to be directed to that client.

2  Personal information we collect

  • Contact and identity information: such as your name, business name, job title, email address, telephone number, and mailing address.

  • Inquiry and lead information: such as information you provide through our website contact form, Facebook or other advertising lead forms, email, social media, or telephone.

  • Client and service information: such as service needs, project details, communications, scheduling information, agreements, instructions, files, and records needed to perform the requested work.

  • Billing and transaction information: such as invoice details, billing address, payment status, and transaction references. Payment card or banking details may be collected directly by a payment processor rather than by us.

  • Information handled for clients: which may include personal information about a client’s customers, employees, contractors, or other individuals when necessary to perform administrative, bookkeeping, document, communications, or organizational services.

  • Website and device information: such as IP address, browser and device type, approximate location, referring pages, pages viewed, and cookie or analytics data collected by our website platform and related technologies.

3  How we collect information

We collect information directly from you, from a client that authorizes us to perform work, automatically through our website and related technologies, and from service providers or public sources where permitted by law. We limit collection to information reasonably needed for identified purposes.

4  How we use personal information

  • respond to questions, requests, and lead-form submissions;

  • assess service needs and prepare proposals, agreements, and estimates;

  • provide, manage, document, and improve our services;

  • communicate with clients, schedule work, and provide support;

  • create invoices, process payments, maintain accounting records, and collect amounts owing;

  • operate, secure, troubleshoot, and understand use of our website and business systems;

  • send service-related notices and, with consent where required, marketing communications;

  • prevent fraud, misuse, security incidents, and other unlawful activity; and

  • meet legal, regulatory, tax, insurance, and professional obligations.

5  Consent and choices

We obtain consent where required by law. Consent may be express or implied depending on the sensitivity of the information and the circumstances. You may withdraw consent to future use or disclosure by contacting us, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may limit our ability to provide some services.

You may unsubscribe from promotional email using the unsubscribe option in the message or by contacting us. You will still receive communications that are necessary to provide services, administer an account, or complete a transaction.

6  When we disclose information

We may disclose personal information:

  • to technology and service providers that support website hosting, cloud storage, email, productivity tools, accounting, invoicing, payments, electronic signatures, scheduling, communications, analytics, security, and business operations;

  • to professional advisers, insurers, auditors, or contractors who require the information for legitimate business purposes and are expected to protect it;

  • to a client when the information relates to services performed for that client;

  • when required or permitted by law, court order, regulatory process, or to protect rights, safety, property, or security; and

  • in connection with a proposed or completed sale, reorganization, financing, or transfer of all or part of the business, subject to appropriate safeguards.

We do not sell or rent personal information.

7  Service providers and processing outside your region

We use third-party service providers to operate our business. Personal information may be stored or processed in Canada, the United States, or other jurisdictions where we or our service providers operate. Information processed outside your province, territory, state, or country may be subject to the laws of that jurisdiction and may be accessible to courts, law enforcement, or regulatory authorities there. We use contractual, organizational, and technical measures appropriate to the circumstances when working with service providers.

8  Cookies and website analytics

Our website and its service providers may use essential cookies and similar technologies to operate the site, remember settings, maintain security, measure site use, and improve performance. Depending on the features enabled, analytics or advertising technologies may also be used. You can control cookies through your browser settings and any cookie controls displayed on the site. Blocking some cookies may affect site functionality.

Some browsers transmit a Do Not Track signal. Because there is no consistent industry response to these signals, our website may not respond to them in a uniform way. You can use browser settings and available cookie controls to manage tracking technologies.

9  Retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, to provide services, meet legal and accounting requirements, resolve disputes, and enforce agreements. Retention periods vary based on the type of information, the purpose for which it was collected, contractual requirements, and applicable law. When information is no longer required, we delete, destroy, or anonymize it using reasonable methods. Client information may also be returned or deleted as provided in the applicable service agreement.

10  Safeguards

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include access controls, passwords and multi-factor authentication where available, secure cloud services, device security, confidentiality obligations, backups, and procedures for secure retention and disposal. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11  Access and correction

You may request access to personal information we control, ask how it has been used or disclosed, or request correction of inaccurate or incomplete information. You may also ask us to withdraw consent or delete information where applicable. We may need to verify your identity before responding. Access may be limited where permitted or required by law, including where disclosure would reveal another person’s information, confidential commercial information, or information protected by legal privilege.

12  Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information directly from children under 13 through our website. If you believe a child has provided personal information to us, please contact us so we can review and, where appropriate, delete it.

13  Third-party links and platforms

Our website, advertisements, or communications may link to third-party websites or platforms. Their privacy practices are governed by their own policies. We encourage you to review those policies before providing personal information.

14  Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, technologies, or legal requirements.
